Errors are often an oversight by the notary. Some common errors are: Notary wording is incomplete, documents notarized but not signed by notary, Notary signed but did not notarize document, seal stamped over text, borrower didn’t sign as typed on documents, documents signed prior to document date, highlight on deeds and whiteout on documents. Any one of these errors can cause funding delays and may have serious consequences such as losing the borrowers rate-lock commitment.

When an assignment is given to the notary, verbally give the notary any special instructions for that client. Ask the notary to contact the borrower within 3 hours to confirm scheduling date and time with the borrower. Follow up on any missing scheduling information not called in.

After the notary has met with the borrower and signed the loan documents, ask the notary to fax back all notarized pages and the notice of right to cancel to you, prior to dropping the signed loan documents in UPS or Fed-ex back to the client. You can be proactive and look for any notary errors as the documents are in transit back to the client. All notary errors are quickly corrected and re-sent to the client immediately by the notary.

After the assignment is completed, contacts the borrower to conduct a short customer service survey on the performance of your notary. You will be able to spot any potential issues that may need to be addressed with a particular notary.

Mistakes can happen even to the best notary. However, after a mistake has been brought to the notary’s attention (for training purposes), the notary is expected to correct the error and learn from the mistake. Mark the notary’s file in your Notary tracking software (www.notarymanager.com) . Then if it happens again, you can know not to use that Notary for future assignments. Notaries that perform error free signings are also noted and should be marked in your database as your #1 choice for their area. In the future call these notaries first to fill signing assignments before other notaries are contacted, thus rewarding your Notaries that perform error free work.
